Customer Roundtable: How Companies Operationalize CAVRA

There is no single software platform or checklist that replaces a complete carrier vetting process. This customer roundtable will feature transportation professionals who are advanced in carrier vetting and risk management explaining how they combine the CAVRA Standard with internal policies, onboarding platforms, transportation management systems, insurance verification, identity controls, monitoring, and Carrier Assure. Panelists will discuss how their companies assign responsibility, create escalation procedures, manage exceptions, document decisions, and adapt their vetting practices to different customers, freight, lanes, and risk levels.

This session is designed for brokers, shippers, insurers, prospects, and current Carrier Assure customers seeking practical examples of how reasonable carrier vetting is implemented in real operations.

Insurance Brokers and Producers Only: Using CAVRA to Understand Transportation Risk

Transportation insurance professionals are often asked to evaluate carrier selection practices without a clear standard for determining whether those practices are reasonable. This session will explain how the CAVRA Standard can be used to assess broker, shipper, and carrier vetting practices during underwriting, renewal, risk control, and client advisory work.

The session will cover the difference between minimum compliance and defensible carrier selection, the questions insurance professionals should ask insureds, how exceptions and overrides should be controlled, how carrier vetting affects litigation and claim exposure, and how insurance requirements can be tied to documented vetting practices.

Attendees will receive a practical checklist for evaluating an insured’s carrier vetting program.

Open Q&A: Applying CAVRA to Mordern Carrier Vetting Scenarios

Carrier vetting decisions rarely involve perfect information. This open question and answer session will apply the CAVRA Standard to practical situations that brokers, shippers, insurers, carriers, and attorneys encounter every day.

The session will address new authority, carriers with no inspection history, conditional safety ratings, lower scored carriers, identity concerns, insurance questions, exceptions, management approvals, monitoring, and documentation. Cassandra Gaines will walk through real world hypotheticals and explain what factors should be evaluated, what mitigation may be appropriate, and what should be documented.

Attendees are encouraged to submit carrier vetting scenarios and questions in advance.

Tuesday September 29, 2026 - 2:00PM CT
New Authority, No Inspection Carriers, and Conditional Ratings

New carriers, carriers with limited inspection data, and carriers with conditional safety ratings create some of the most difficult operational decisions in carrier vetting. This session will explain how the CAVRA Standard distinguishes these categories and why each requires a different response. The discussion will cover hard stop criteria, heightened review, references, insurance confirmation, ownership and equipment verification, lower risk test loads, management approval, enhanced monitoring, and written justification.

Attendees will learn how to preserve capacity without treating every carrier as equally qualified or accepting risks that cannot be reasonably mitigated.
